The Division of Continuing Education, Study Administration and Study Law is responsible for managing student data and for carrying out the admissions procedure as well as for all continuing education matters at FH JOANNEUM.

In the area of continuing education, employees, students, graduates and external participants benefit from offers such as the SUMMER BUSINESS SCHOOL, the Mathematics Warm-up, the WLF (WEITERbildung in Lehre & Forschung) or the Qualification course for university entrance with additional examinations as well as internal training courses such as project management.

The department is also responsible for the formally correct submission of applications for Certificate Programmes and the associated quality assurance processes, as well as the central handling of course administration from application and enrolment to the payment of ongoing fees. Furthermore, organisational support is provided for the implementation of Continuing education in university didactics and the Teaching Award is handled organisationally. The department is also responsible for the – currently suspended – preparation of the intellectual capital report.

‘Student Administration’ comprises the central administration of individual student data, the organisation of admission procedures and the handling of online tests, including all correspondence with applicants and checking the admission requirements of all applicants, the enrolment of all new students, the preparation of statistical data for decision-makers and the Federal Ministry and other authorities (including the coordination of the “BIS report”, which is prepared twice a year), the supervision of the Study Centre and responsibility for the processes of the so-called “Student Life Cycle”. the Federal Ministry and other authorities (including the coordination of the ‘BIS report’, which is prepared twice a year), the supervision of the Study Centre, responsibility for the processes of the so-called ‘Student Life Cycle’ and the coordination and processing of the nostrification of foreign degrees.

The task of the Legal Department for study law issues includes advising the management, the Board of Governors and the degree programmes and organisational units on all matters relating to study law. With the exception of labour law matters, data protection and the legal supervision of research topics, this covers virtually all legal issues and therefore all areas of law. It also includes responsibility for the organisation of ÖH elections.

The General Data Protection Regulation (GDPR), which entered into force on 25 May 2018, stipulates extensive information obligations. In compliance with the new statutory requirements, the Division of Continuing Education, Study Administration and Study Law (hereinafter referred to as “WSA”) of FH JOANNEUM Gesellschaft mbH provides you with the following information about the data processing activities carried out by WSA.

WSA points out that the data processing activities described in the following have also been carried out in the past.

1. Data processing in relation to study administration

Data of prospective students and/or applicants as well as applicants requesting recognition of a foreign university degree (nostrification) are processed and transferred for the purposes of providing (further) information on courses, verifying compliance with the admission requirements, managing the admissions procedure and carrying out the nostrification process and the relevant communication (e.g. correspondence) if required by law or other legal standards.

The data provided by you, e.g. CV, first name(s), academic degree/last name, street/postcode/town/country, telephone/mobile number, email, date of birth, place of birth, social security number and nationality, will be processed for the purpose of initiating and executing the contractual relationship.

WSA will also process other categories of personal data collected when dealing with prospective students, applicants and/or nostrification applicants if these data are required for providing accurate information about study conditions and/or study options and the nostrification process. In many cases it will be necessary to contact Austrian authorities at regional or national level or abroad (e.g. embassies).

1.1. Processing of data provided voluntarily: consent to provide information about religious beliefs; transfer of health data

Information about a person’s religious belief is provided voluntarily and based on consent. WSA will not actively collect health data such as (detailed) medical reports, therapies, medications and/or similar (with the exception of sick notes sent voluntarily). WSA may occasionally receive such information, in which case we will delete it.

Any consent may be withdrawn at any time. If you withdraw your consent your data will no longer be processed with effect from the date of withdrawal and you will thus no longer be able to claim any rights, benefits etc. related thereto.

1.2. Data processing as part of nostrification, scholarships and contributions

Personal data of persons contacting WSA as part of a nostrification process will be transferred to the relevant universities or Austrian and/or foreign authorities (mostly ministries of science) for the purpose of external verification. This data processing is necessary for FH JOANNEUM’s legitimate interest to perform the process in compliance with statutory provisions. Data sent to WSA as part of applying for an achievement or merit scholarship will be transmitted to the relevant authorities.

Relevant data/information (account details; bank details) required for the processing of fees or contributions (collection of ÖH membership fee and cost contributions of students from third countries; processing of refunds, reliefs) will be processed. Sensitive data sent to WSA as part of requests for refund will be deleted.

Any other unsolicited information provided to WSA will be deleted.

You may have the right to object to the processing of any data relating to your particular situation. 1.3. Data processing in the event of legal disputes

If a legal dispute arises during or after the contractual relationship or as a result of the transfer of data of prospective students, applicants or nostrification applicants, the data required for the litigation will be transmitted to the relevant legal representatives and courts.

The data relevant in individual cases will be shared with the following recipients based on the statutory requirements and/or contractual agreements and/or FH JOANNEUM’s legitimate interest:

1.5. Duration of processing

The data will generally be processed for the duration of the contractual relationship, and after the end of the contractual relationship for the statutory retention period and as long as legal claims can be asserted with respect to the contractual relationship. Data of prospective students and nostrification applicants will be retained for a maximum of three years.

2. Data processing for continuing education

The data of lecturers and participants of the Summer Business School and the continuing education programmes in university didactics and project management and the university entrance qualification course will be processed by WSA for internal use and administration and forwarded to Austrian authorities (e.g. the Ministry of Science) in compliance with the statutory provisions.

2.2. Duration of processing

The data will generally be processed for the duration of the contractual relationship, and after the end of the contractual relationship for the statutory retention period and as long as legal claims can be asserted with respect to the contractual relationship. Data of prospective students will be retained for a maximum of three years unless they become actual students of FH JOANNEUM, which results in a longer retention period.

3. Data processing for study law matters

Legal reviews, assessments and evaluations will be performed on the basis of data from (1) Student Agreements, (2) nostrification procedures, (3) documents (e.g. certificates) and/or results (e.g. examinations) obtained according to the Study and Examination Regulations and (4) student elections.

4. Your rights as a data subject

You have

  • the right to obtain information about your personal data,
  • the right to rectification or deletion or restriction of processing,
  • the right to data portability,
  • the right to object (under certain circumstances),
